Executive Committee
The President
- Preside over and conduct meetings according to accepted parliamentary procedure.
- Be familiar with the duties of all other officers and see that all duties are performed.
- Work closely with the Director in ALL honor society business.
- Conduct a leadership planning meeting prior to the monthly meeting to prepare an agenda and review previous meetings.
- Call special meetings when necessary.
- Keep members on topic and within the time limits.
- Call other officers to the chair, as necessary.
- Represent the honor society and speak to interest groups as requested.
- Follow up club activities and check on progress being made.
- Coordinate honor society efforts by keeping in close touch with the other membership.
- Keep honor society activities moving in a satisfactory manner.
- Maintain a President's notebook.
The Vice President
- Assist the President.
- Be in charge of committee work.
- Preside at the meetings in the absence of the President.
- Be prepared to assume the duties and responsibilities of the President.
- In the event that the President should resign his or her office, or for some other reason permanently leave office, then the Vice President shall serve as President for the remainder of the year, and a new Vice President shall be elected.
- Plan and organize community service projects for the society.
- Be responsible for maintaining records of the community service hours of the membership (effective June 30, 2011); the Vice President may appoint an assistant for this task at his/her discretion.
- Maintain the Vice President's notebook.
Secretary
- Keep accurate records of all meeting proceedings and read the minutes at meetings.
- Attend to official correspondence.
- Count and record votes when taken.
- Prepare reports. Keep a roll of members.
- Call meetings to order in the absence of a presiding officer.
- Read communications at meetings.
- Maintain the Secretary's notebook.
- Have on hand for each meeting the following: minutes from the previous meeting, lists of committees and committee reports, and copies of the bylaws.

Treasurer
- Receive and act as custodian of the Theta Alpha Chapter funds.
- Manage fundraising events.
- Collect dues.
- Assist in preparing an annual budget
- Keep financial records of the society.
- Devise appropriate ways and means of financing honor society activities.
- Pay out club funds as authorized.
- Prepare financial statements and reports.
- Maintain the Treasurer's notebook.
Parliamentarian (Sergeant-at-Arms)
- Insure that proper parliamentary procedure is followed at meetings and uphold the bylaws of the honor society.
- Conduct a parliamentary procedure workshop for the honor society as needed.
- Assist the President during the meetings as needed.
- Preside over the meeting whenever the President and Vice President are not available.
- Maintain the parliamentarian's notebook.
Auxiliary Officers
Reporter
- Gather and classify Theta Alpha Chapter news.
- Prepare news notes and articles for publication.
- Provide clippings and pictures of honor society activitiesto the Historian.
- Serve as club historian, in the event there is no Historian.
- Assist with planning society exhibits.
Historian
- File clippings and pictures of club activities, members accomplishments, and keep an honor society scrapbook.
Webmaster
- Maintain the official website of Theta Alpha chapter, www.ThetaAlphaNM.com, and ensure that
all information provided is accurate and current.
- Make sure the yearly fee for the website is paid, either by paying the fee and submitting a receipt
for reimbursement, or by submitting the bill to the Treasurer well before the due date to make
sure the fee is paid by the chapter on time.
Director
Duties of the Director
- To act as liason between the Eta Sigma Alpha National Board and the Theta Alpha Chapter.
- To act as liason between the Theta Alpha chapter and the New Mexico Community.
- To assist the executive board with their duties.
- To provide materials for officers to perform their duties.
- To notify the President of special events.
- To hold parent meetings that will coincide with the officer/membership meetings (if necessary).
The Executive Committee
The Theta Alpha Chapter Executive Committee shall consist of the following officers: President, Vice President, Secretary, Sergeant at Arms, and Treasurer. The Executive Committee shall have the ability to make decisions affecting the honor society, and be able to appoint other committees as needed. The Executive Committee shall meet once a quarter prior to the regular business meeting. The President is able to call special meetings as necessary.
Grievances
The Theta Alpha Chapter is a self-governing group of scholastically advanced, community service oriented young people, and all grievances should be resolved at the lowest possible level, in the least complicated manner. A grievance should start at the lowest level and go up the chain of command. The grievance should be in written format.
Election of Officers
Any elected officer must be from the current membership. An officer can hold the same elected position for two consecutive years, but must skip a year in order to run for a third in that office. They may also chose to be in office for one year, skip a year, then hold a two-year term. Members nominated for an office but not elected can run for two other offices within any election.
Duties and Responsibilites of Club Officers
Each officer shall be familiar with the by-laws and the annual program of activities,a nd should cooperate with other officers and members at all times. Each officer should know the other officers' duties and be familiar with parliamentary procedure. Below are the duties and responsibilities of the officers:
